Job Description

The Bid Coordinator role holds responsibility for bid and tender operations across the group. Working closely with the Engagement Managers, you will lead and connect bids and tendering with business development activities to reach strong commercial outcomes; bid planning and project management. Your core responsibilities will consist of:

  • Identifying tender opportunities via public tender forums
  • Provide general bid administration including setting up working folders, compilation of all relevant attachments for submission folder, coordinating contract reviews with legal counsel, recording meeting minutes and action items for tender working team, registering relevant team members for tender briefing sessions, liaising with customers to clarify proposal requirements and negotiate proposal submissions dates
  • Provide administrative support in the production of bid documents including completion of customer schedules and returnable, sourcing and formatting capability statements, project references and other relevant collateral
  • Managing tenders from initial receival to submission
  • Track and maintain prequalification/panel/supplier arrangements across the business
  • Initiate and manage the bid review and approval process for compliance and on-time submission
  • Coordinate, organise and gather information from technical teams and key stakeholders to compile bids/proposals
  • Maintain and develop Bid amp; Tender ‘content library’
  • Create draft responses by leveraging previous responses and existing boilerplate
  • Be responsible for all versions of the final documents (reviewing, formatting, and compliance checks)
  • Content mining from previous tenders and submissions, and managing updates to existing content
  • Simultaneously manage one or more bids in one or more regions and for one or more customers

Requirements

The successful candidate will have strong organisational skills and the ability to manage multiple priorities to meet deadlines while effectively maintaining strong working relationships across the organisation to achieve collective goals.

  • Previous experience in bid coordination not necessary, but will be looked upon favourably
