Role in brief:

As a super organised professional EA you will manage all of the moving parts for our extremely busy Director. We are looking for someone with exceptional communication and time management skills who can manage a variety of duties simultaneously. You will have strong organisational skills, pride yourself on your attention to detail and be highly efficient when carrying through tasks. Our ideal candidate will be mature, responsible, have exceptional oversight and the ability to pre-empt the needs of the Director, leadership team and wider studio. We are looking for someone who is professional yet flexible with the ability to thrive in any situation as demands and expectations are likely to change on a day-to day basis.


Key Responsibilities:

  • Extensive diary management and meeting coordination including scheduling.
  • Managing Directors inbox amp; others where required.
  • Coordinating meetings across multiple time zones.
  • Organising international and domestic travel arrangements, flights, accommodation and itineraries.
  • Defending Directors time.
  • Ensuring Directors promptness for meetings.
  • Keeping accurate records of Director spending, receipts etc and process accordingly.
  • High level confidentiality and professionalism at all times.
  • Assisting with events coordination both internally and externally.
  • General secretarial and office support when required.

Requirements

  • Minimum 5 years experience as an Executive Assistant supporting at Director or Partner level.
  • Exceptional communication skills both verbal and written, in particular accurate spelling and grammar.
  • The ability to prioritise work and thrive in a busy and fast-paced environment.
  • A high attention to detail, strong problem solving skills and the ability to be flexible.
  • Strong organisation and time management skills.
  • Timely and accurate completion of tasks.
  • Manage multiple systems including (but not limited to) zoom, apple mail, google calendar, google drive, slack, creative cloud suite
  • Ability to maintain composure under fast paced amp; complex workload.
  • Commitment to the role and willingness to go above and beyond.
  • High levels of initiative and a forward-thinking mindset.
