Job Description

Planned Parenthood of Greater New York is seeking a Health Center Manager for our Brooklyn location. This position will be on our Clinical Services team, and will be based at our Joan MalinBrooklynHealth Center located at 44 Court St 6th floor, Brooklyn, NY 11201. This is a Tuesday Saturday full-time position with travel to our Staten Island Health center located at 23 Hyatt St, Staten Island, NY 10301. Availability to work at least two evening shifts per week is required.
The Health Center Manager (HCM) is responsible for the patient related and financial responsibilities of day-to-day health center (s) operations, monitoring of health center(s) staff, associated workflows and assignments to ensure efficient operation of the health center(s). Is also responsible for ensuring facility and security issues are properly reported and handled, information technology and clinical informatics issues reported and rectified, and that all other issues that might arise are handled in a timely and efficient manner.

  • Program and Office Support
  • Plan, organize and manage operations and activities of one or more health centers (s) or health program(s)
  • Responsible for all aspects of patient registration and financial procedures, including processing of insurance, registration, and insurance information, fee collection, cash day sheets and reconciliation of payments, and timely submission of documents to Finance Department.
  • Responsible for the learning, training and monitoring of all aspects of the revenue cycle including: registration, benefits verification, KPI’s including Co-pay collections, no-show capture, closing of charts, denials for eligibility, etc.
  • Holds daily huddles (assigning a deputy in the absence of HCM) to assure that communication of new information and the daily schedule and staffing are clear to all staff.
  • Demonstrates knowledge of agency practice management system. Assures proper recording of all pertinent information for each client as well as daily appointment maintenance and reporting.
  • Meets or exceeds visit goals through attentive management of the health center’s operations including scheduling, matching center hours with patient demand, and staffing.
  • Daily clinic flow, including implementing improvements to maximize productivity and patient satisfaction.
  • Ensures timely procurement and inventory control of all clinical and administrative supplies in accordance with patient volume needs and budgetary constraints, including overseeing inventory, generating and processing POR and check requests, processing shipment upon receipt and closing PORs and check requests.
  • Performs daily reconciliation of cash and credit transactions. Prepares bank deposits and completes daily revenue reconciliation.
  • Maintains petty cash funds and processes check requests for vendors, as needed.
  • Oversees management of medical records as it relates to regulatory compliance and handles medical records requests.
  • Completes all responsibilities according to established protocols, policies and standard practices in the areas of customer service, quality assurance and regulatory compliance programs such as HIPAA (Health Information Portability amp; Accountability Act), OSHA (Occupational Safety amp; Health Act) and CLIA (Clinical Laboratory Improvement Administration) and Title X.
  • Administrative Team Coordination
  • Acts as liaison with Finance. Ensures accuracy of all financial and other forms related to the delivery of service, billing and third party reimbursements.
  • Accepts individual and joint responsibility for and participates in meeting established revenue and productivity goals.
