Job Description

We are looking for a highly experienced and driven Executive Assistant to join our team based in North Sydney.

Reporting to the Chief Executive Officer, you will provide strategic and operational executive level support to the CEO and select Executive Leadership Team members (Chief Financial Officer, GM Human Resources, and General Counsel).

As a highly skilled and proactive professional, you will be responsible for:

  • Managing the end-to-end diary of the executives to ensure their time is efficiently and effectively allocated.
  • Providing exceptional service to the Board of Directors with Board Meeting coordination including all travel arrangements, expense reconciliation and processing, and other events as required.

· Managing end to end travel arrangements including flights (domestic amp; international), accommodation, car hire / transfers, and visa applications for the respective Executives.

  • Support investor relations activities including the half year and year end results presentations as well as any other ad hoc events for example investor day briefing'.
  • Coordinating the administration of Executive level meetings (e.g. WD8 amp; ELT) by preparing reports and other documentation including agendas, notices, and meeting actions.
  • Managing email communications by effectively prioritising and identifying and acting on critical communication
  • Acting as a point of contact for internal/external stakeholders and supporting the effective resolution of requests and inquiries
  • Supporting Board related activities including coordinating, collating, and distributing board packs, arranging travel for Directors, and venue and catering arrangements for meetings and events
  • Proactively seeking ways to reduce costs in all office-related expenses and contributing to the office aesthetics and functionality that impacts workplace culture

There will also be the opportunity to mentor, coach and support the wider admin team to develop their capabilities and drive continuous improvements.

About you

A driven, organised, and conscientious self-starter, able to manage competing priorities in a fast-paced results driven environment:

  • Proven solid experience (5-10 years) as a C-Suite EA, preferably from within an ASX listed business.
  • High level of professionalism and judgement with the ability to maintain strict confidentiality.
  • Relentless focus on servicing the customers and colleagues.
  • Strong stakeholder engagement skills and ability to influence and drive favourable outcomes.
  • Solution focussed thinker with strong problem-solving skills and ability to troubleshoot issues.
  • Proactive and ‘can-do’ approach to taking on tasks and seeing them through to successful completion.
  • Sense of urgency to resolving conflicting priorities and ability to handle matters expeditiously.

Advanced skills in Microsoft suite specifically Word and PowerPoint essential.
