The role

Working out of our Moorabbin office, we are searching for an Office Manager with great energy and enthusiasm, exceptional organisational skills and prides themselves on their level of efficiency and ability to engage with stakeholders at all levels. The role involves a variety of tasks, so the ability to pioritise and keep up with pace is paramount.

This role is a 12-month fixed-term Maternity Contract, however there is a possibility to extend in another area of interest.

Requirements

On a daily basis you will:

  • Perform receptionist duties including greeting and assisting customers or contractors and directing them around the office accordingly
  • Perform daily tasks relating to the efficient management of the office premises, including ordering and managing office supplies, identify and rectify any areas needing attention relating to the maintenance of the office, collecting and sorting incoming mail and deliveries and managing outgoing mail and deliverables.
  • Work with our other offices nationally to ensure office supplies and general maintenance of these offices are up to scratch
  • Act as first point of contact for all internally queries relating to office management and maintenance
  • Arrange the appointments and meetings of various employees including interstate travel related requirements and bookings
  • Arrange catering and coffee for internal and external meetings and training sessions as required
  • Maintain confidentiality in information relayed and be a trusted partner to the Executive Team
  • Source, manage and maintain relationships with all service providers such as caterers, cleaners and security ensuring continual performance and cost efficiency as well as the monthly reporting of performance
  • Organise security cards and conduct office induction for new joiners
  • Provide assistance when new employees are being onboarded and offboarded including securing access cards, desk and car park allocation
  • Establish and maintain professional relationship with relevant internal and external stakeholders

Your skills and attributes

  • Tertiary Qualification in Business or related field
  • Experience in managing or coordinating a professional/corporate office or in administration/compliance environment
  • Proficiency in Word, Excel, PowerPoint, and Outlook
  • The ability to work in a dynamic, fast paced environment, whilst maintaining composure and delivering outcomes of the highest quality
  • Excellent time management skills and ability to prioritise competing priorities
  • Ability to work as an effective member of a team, as well as the ability to exercise independence and judgement when required
  • High attention to detail
  • Well-developed written and verbal communication skills
